Business Data Stewards

Business sensitive data is stored within file shares and accessed by Co-op employees daily. Many of the file shares are business critical. In order to ensure that these file shares and the data hosted within remains secure and properly managed it is necessary for one or more trusted member of staff to serve as a point of contact between the relevant business area and CTS / Co-op Technology for all non standard file share related work.


  • Identify new owners for file shares within the relevant business area which have become orphaned.
  • Authorise or deny access to any file share within the relevant business area in the event that the primary and secondary owners are not available.
  • Conduct regular reviews of the file shares utilised within the relevant business area and ensure that ownership is correct. (The Co-op IT - Storage & Backup Team can assist with this activity when required)
  • Serve as an escalation point for any file share related issues within the relevant business area.

File Share Access

Data Stewards are authorised to access any file share within their business area. The access should be requested via standard process. However, no approval is required. Read/Write access can be provided when appropriate.

Quota Server Access and Reporting

Data Stewards are provided with Read access to the Northern Quota Server client. This provides visibility of all the file share quotas relevant to their business area. Deployment of the client should be requested via Heat Service Request.

Quota Reports can be provided to the Data Stewards. The reports can be scheduled to send daily, weekly or monthly via e-mail. These reports should be requested via Heat Service Request.
